• Serve as the principal administrative point of contact for the FWPO Project Manager and Deputy Project Manager, coordinating and developing briefings and other products for internal and external use, ensuring message and content are consistent with PM and DPM priorities; create and maintain leadership meeting charts, briefing packets, and similar work products
• Track, assign, and manage taskers and related workflows on behalf of the PM and DPM; process queries and requests for information and data, directing them to the appropriate office or point of contact
• Maintain and organize the PM's and DPM's calendars to ensure leadership is prepared for all meetings, schedule meetings and appointments as required, and assist in schedule synchronization between FWPO HQ and higher headquarters, subordinate product offices, and external stakeholders
• Receive and direct visitors, including senior military, civilian, and industry leaders, in a professional and courteous manner; resolve administrative problems and inquiries in a timely and effective manner
• Prepare, review, and route written correspondence in accordance with AR 25-50, including directives, issuances, memoranda, policy statements, and taskings, reviewing documents for omissions and inconsistencies to ensure data is complete and accurate
• Prepare travel arrangements and reconcile vouchers in the Defense Travel System (DTS), including travel, lodging, and rental car bookings, and prepare a comprehensive travel book with agenda
• Prepare agendas for meetings and record, compile, transcribe, and distribute meeting minutes and action items; attend meetings with leadership and ensure timely fulfillment of post-meeting actions
• Coordinate facilities and resources to support briefings and collaboration activities, including conference facilities, teleconferences, video teleconferences, digital presentations, and room preparation
• Coordinate, set up, and execute off-site events, team-building activities, and agency social events
• Maintain office supply inventories and coordinate replenishment as needed
• Create, edit, and proofread documents and presentations using the Microsoft Office suite, including PowerPoint, Word, and Excel; independently compile and generate reports and presentations
• Maintain files and version control of developed documentation; organize and maintain the project library, document repositories, and SharePoint sites, and perform document retrieval as required
• Prior experience providing administrative and executive support within a DoD or federal acquisition/program management office environment
• Demonstrated ability to manage multiple administrative projects and initiatives, with experience supporting a variety of executive, management, and staff levels
• Experience coordinating both on-site and off-site meetings and/or events
• Expert-level oral and written communication skills, including experience writing, proofreading, and correcting Army correspondence
• Advanced proficiency with Microsoft Office applications (Word, PowerPoint, Outlook, Excel, Project), SharePoint, and intranet/internet applications
• Familiarity with Army aviation program management processes and terminology
